MessageScreen User Quarantine Tips

Welcome to MessageScreen! MessageScreen is the RCTC's email Anti-Spam and Content filtering system. MessageScreen scans all email coming into RCTC, and when it identifies messages as UCE/Spam or Explicit Content it may 'quarantine' the message for further evaluation. MessageScreen allows you to view and manage your own quarantined messages via the User Quarantine. A sample User Quarantine is shown below; the appearance of your own quarantine may differ depending upon the user quarantine permissions assigned by the RCTC email Administrator for end-users.

Check Your Quarantine Every Day!

You should log in and view your quarantine area at least once a day - otherwise you may miss important email that has been incorrectly categorized as Spam.

  1. Go to: [http://gw1.roch.edu/user]
  2. Log in using your full internal email address (e.g., userid@acad.roch.edu) using your NetMail userid and password and click 'Login'.
  3. Click Inbound Email or Outbound Email

Take a moment to do a general review of the messages listed.  It may be easiest to verify that everything visible is a Spam message, and then single out exceptions that are not.

  1. If a message IS Spam, delete the message (remove it from the Quarantine), by clicking the Delete icon .  The message row will turn red.
If all messages shown are in fact Spam, mark them for deletion by clicking the Delete icon  next to "All" at the bottom of the list. All message rows will turn Red.
  2. If a message is NOT Spam, release it for delivery (to your inbox), by clicking the Release icon .  The message row will turn green.
It is also possible to Release and Whitelist , which will both release the message and add the sender to the Trusted Senders list (so that messages from this sender will not be quarantined again).
  3. To view message content, click the View icon (a view window will popup).
  4. To forward the message, click the Forward icon  (a forward window will popup). The message will be forwarded to the specified recipient, but remains in the Quarantine until deleted or released.
  5. When all messages have been highlighted as desired, click the 'Commit' button at the bottom of the screen to process all the messages.

Customize Your Settings!

To get the most benefit from MessageScreen, you can modify your MessageScreen User Settings to

·         Enable/Disable Filtering

·         Change MessageScreen base policy: Policy Default, None, Permissive, Moderate, Strict - the base policy represents tolerance level applied.

Modifying User Settings:

  1. Click 'User Settings'.

2.       To Disable MessageScreen filtering, de-select the Enable Filtering checkbox and click Save.

3.       To change the MessageScreen base policy for either UCE/Spam or Explicit Content filtering, make the desired selection from the dropdown list and click Save.

Help Improve MessageScreen!

If Spam messages are still getting through to your Inbox, you can forward these to IntelliReach so they can improve the filtering capabilities of the product for all our customers.

To report Spam Messages:

If you receive spam into your Inbox PLEASE forward with full header information to the following email address:

badmail@messagescreen.com *

*This is ONLY for spam that manages to get through MessageScreen and contains explicit content. All other spam should be forwarded with full headers to:

spam@messagescreen.com

How do you do this?

  1. While the message is open, select the "Properties" tab.  Select everything in the 'Internet Headers' box and copy it.  Return to the message.
  2. Click 'Forward'.
  3. Enter spam@messagescreen.com or badmail@messagescreen.com*, depending on the content, for the To: address.
  4. In the top of the body of the message, paste the Internet headers into the top of the message.  Click 'Send' to send the message to IntelliReach.  You can now delete the message from your inbox.

Give Your Friends a Pass!

If you regularly find messages you want in your quarantine (false positives), you may want to add the senders' addresses to your list of Trusted Senders:

Adding/modifying Trusted Senders:

1.       Click 'Trusted Senders'.

2.       Click 'Add New Sender'.

3.       Enter the Trusted sender in one of the following formats:

·         A network is entered as: 10.3.2.0/24 (all hosts that live on this network are trusted)

·         A host can be entered as: mail.domain.com

·         A domain is entered as: @domain.com

·         A user is entered as: user@domain.com

Block Your Enemies!

You may also block certain senders as desired.

Adding/modifying Blocked Senders:

1.       Click 'Blocked Senders'.

2.       Click 'Add New Sender'.

3.       Enter the Blocked sender in one of the following formats:

·         A network is entered as: 10.3.2.0/24 (all hosts that live on this network are blocked)

·         A host can be entered as: mail.domain.com

·         A domain is entered as: @domain.com

·         A user is entered as: user@domain.com
