Network/E-mail Access Policies and Request Form
RCTC User Account Policies:
- Employees must contact ITS HelpDesk within 14 days of the start date specified on their Account Request From or the account will be deleted and a new Account Request must be submitted.
- Any Network login account not used for 30 days will be disabled.
- Any Network login account not used for 90 days within academic year will be deleted.
- Any Email account not used for 30 days will be disabled.
- Any Email account not used for 90 days within academic year will be deleted.
- All Adjunct / Temporary user accounts will have a specified end date. An employee’s administrator is responsible for notifying Information Technology of new / extended end dates for their employee’s. All Adjunct / Temporary user accounts will be deleted 10 days after their end date if they have not been extended.
File space Policies:
- All files stored on RCTC computer / storage systems are to be for valid work related purposes.
- Files that are designed to be shared, among several people in a department or for a project, should be stored in an appropriate department/project directory.
- User home directories should be used for files that are not designed to be shared between multiple users.
- Files should not be stored on the local computers hard drive as they cannot be backed up nor recovered in the event of system failure. Any files stored on the local hard drive are the employee’s responsibility to backup as they feel appropriate.
- The “Temp” directory is available for the transfer of files between users who do not share access to a department or project directory. All files in the Temp directory are deleted as part of daily maintenance. Transferring files between employees via email attachments is discouraged as it adds an unnecessary load to the email system.
- All users are allocated 50 MB of storage in their Home directory. Files stored in the Home directory include: all files on the “f:” drive, all files placed on the users desktop, and the users profile.
- Additional Home directory space may be requested from ITS HelpDesk, and will be added on a per request basis. ITS will perform a cursory inspection of the users home directory and will ask the user to clean up any apparently non-work related files.
Sabbatical / Leave of Absence policy:
- Employee’s going on a Sabbatical or leave of absence have three options to maintain their account:
- If the Employee intends to use both their network login and their email account while on sabbatical or leave of absence. The account will be maintained as normal given the time requirements stated under User Account Policies.
- If the Employee intends to use their email through the web interface but not their network login. Their network login account will be maintained in a disabled state until their designated end date, and their email account will be maintained as normal given the time requirements stated under User Account Policies.
- If the Employee doesn’t intend to use either their network login account or their email. Their network login account and their email account will be maintained in a disabled state until their designated end date.
- The Employee is responsible for notifying ITS HelpDesk that they are going on a sabbatical / leave of absence and indicating which option they desire. Failure to do so may result in their account being deleted as part of the normal account maintenance process which is not recoverable.
